Workshop Booking Privacy Notice
This notice explains how personal information provided through the Trust Inclusion workshop booking process will be used.
Who this notice is for
This notice applies to people whose personal information is provided through the Trust Inclusion workshop booking process, including booking contacts and delegates.
Who is responsible for the information
Trust Inclusion is responsible for the personal information collected through the workshop booking form. Contact: admin@trustinclusion.org.uk; telephone 07850 815 821.
What information we collect
We may collect the booking contact’s name, role, organisation, email address, telephone number, invoice address and purchase order details, together with delegate names, roles and work email addresses. Please do not include health or other sensitive personal information in the booking form.
Why we use it
We use booking information to process and administer workshop bookings; confirm places; issue invoices and maintain financial records; send joining instructions and workshop information; deliver the training; manage substitutions, cancellations and attendance; and deal with booking-related queries.
Our lawful basis
For business contact and delegate information, we rely primarily on our legitimate interests in administering and delivering training that an organisation has asked us to provide. Where we must retain financial or tax records, we may also rely on legal obligations. We use consent for optional marketing communications, and marketing consent can be withdrawn at any time.
Who we share information with
We may share relevant information with service providers that support our website, booking administration, email, online workshop delivery, invoicing or IT systems. We only share what is necessary for the service being provided and expect providers to protect the information appropriately.
International transfers
Some technology providers may process information outside the UK. Where this occurs, Trust Inclusion will use appropriate safeguards required by UK data protection law. The final website privacy notice should identify any specific providers and transfer arrangements once the booking system is connected.
How long we keep it
Booking and attendance administration records will be kept only for as long as needed for operational, contractual and legitimate business purposes. Financial and invoicing records may need to be retained for longer to meet tax and accounting requirements. The final retention periods should be aligned with Trust Inclusion’s wider retention policy.
Your rights
Depending on the circumstances, individuals may have rights to access, correct, erase or restrict the use of their personal information, to object to certain processing, and to complain to the Information Commissioner’s Office. Requests can be made using the contact details above.
Marketing
Workshop booking is not conditional on agreeing to marketing. The booking form should use a separate, unticked option if a person wishes to receive occasional news and information about future Trust Inclusion programmes.
Changes to this notice
This notice should be reviewed when the booking process, technology providers or data uses change. The version published on the Trust Inclusion website should be treated as the current version.
